Administrative Assistant Qualifications

LockNet is seeking an Administrative Assistant to join our team. This excellent communicator has strong interpersonal skills and is able to effectively work with fellow employees, vendors, and customers. Extremely diligent and organized, the ideal Administrative Assistant will be able to handle multiple tasks in a fast-paced work environment. Looking to the future, this individual will have a desire to learn the industry and grow within the organization.

Administrative Assistant Job Description

The Administrative Assistant will be responsible for items including but not limited to:

  1. Processing quote requests and invitations to bid projects.
    • Entering jobs into the system.
    • Getting plans from internet, FTP sites, and contractors.
    • Creating folders for jobs
    • Printing relevant plans and specifications.
  1. Researching jobs to identify contractors who are bidding.
  2. Processing customer purchase orders.
  3. Customer account setup.
  4. Monitor key dates (i.e. quote due dates, job release dates, etc).
  5. Assist Project Managers with the following;
    • Managing warranty claims / returns.
    • Processing service calls related to job codes.
    • Producing and sending submittal documents to contractors.
    • Calling to confirm ship dates with customers.
  1. Assist in maintaining status of jobs in Job Code system, including archiving.
  2. Assist with weekly and monthly reporting.

Administrative Assistant Qualifications

  • High School Diploma, or equivalent required
  • Two years college or equivalent work experience preferred
  • Working knowledge of Microsoft Excel, Word, and Outlook required
  • Excellent interpersonal, oral, and written communication skills
